3. Why Do I Collect Personal Information?
I use personal information to:
-
Respond to tuition enquiries.

Assess whether I can provide suitable academic support.
-
Arrange introductory sessions and tuition.
-
Communicate with students and parents/guardians.

4. Legal Basis for Using Your Information
Under UK data protection law, personal information must be processed using an appropriate lawful basis.
Depending on the circumstances, I may rely on:
Contract or steps taken before entering into a contract: To respond to prospective customers, arrange tuition and provide agreed services where the legal requirements for this basis are met.
Legitimate interests: To manage suitable enquiries, maintain necessary business records, communicate about tuition and operate the business effectively, where those interests are not overridden by individuals' rights and freedoms.
Legal obligation: To comply with applicable tax, accounting, legal and safeguarding responsibilities.
Consent: Where consent is legally required for a particular activity, such as certain optional communications, recordings or technologies.
Where personal information relates to children, I take particular care to ensure that its use is appropriate, necessary and in the child's interests.
5. Information About Children
I provide tutoring services that may involve students under the age of 18.
Students are welcome to enquire directly, including those under 18. If a student is under 18, I will involve a parent or carer before booking and obtain consent from a parent or carer with parental responsibility before tuition begins. I may therefore need their contact details to confirm consent and manage lesson arrangements.
I aim to collect only the information needed to provide appropriate academic support.
I do not request sensitive personal information about children unless there is a clear and lawful reason to do so.
Information about children will be handled with particular care and will not be used for unrelated marketing purposes.
Where possible, administrative communications about under-18 students will be directed through their parent or carer.
6. How Is Personal Information Stored?
I take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse or disclosure.
Depending on the services used, information may be stored in secure email accounts, website enquiry systems, cloud-based storage or administrative records.
Access is limited to those who reasonably need the information to provide or administer tutoring services.
7. How Long Is Information Kept?
I retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including applicable legal and accounting obligations.
My intended retention periods are:
-
Unsuccessful enquiries: Up to six months after the final communication, unless there is a legitimate reason to retain the information longer.
-
Student contact information and routine lesson records: Up to 12 months after tuition ends, unless longer retention is justified.
-
Financial and accounting records: For the period required under applicable UK tax and accounting legislation, commonly at least five years after the relevant tax return deadline for self-employed records.
-
Safeguarding records: Retained separately and for an appropriate period determined by applicable safeguarding and legal requirements.
Information will be securely deleted or anonymised when it is no longer required.
8. Do I Share Personal Information?
I do not sell personal information to third parties.
I may share limited information with service providers where necessary to operate my tutoring business, such as:
-
Cloudflare, which provides website hosting, enquiry-form processing and spam protection. Enquiry details are processed through a Cloudflare Worker and sent to my designated inbox using Cloudflare's email service.
-
Email and communication providers.
-
Online video-conferencing services.
-
Payment processing or accounting providers.
-
Secure file-storage services.
These providers may process information on my behalf or act as independent controllers, depending on their services and contractual arrangements.
Information may also be disclosed where required by law or where necessary to address a serious safeguarding concern.
I will not share student information with unrelated third parties without an appropriate lawful basis.
9. International Data Transfers
Some online service providers may store or process personal information outside the United Kingdom.
Where international transfers occur, I will ensure that an appropriate legal mechanism or other applicable protection is in place.
10. Cookies and Website Analytics
This website does not use advertising trackers or visitor analytics tools. Fonts and images are served with the website rather than loaded from third-party font or image services.
The contact page uses Cloudflare Turnstile to distinguish genuine visitors from automated spam. When you open that page, Turnstile processes technical signals such as your IP address, browser information and the website address. Cloudflare uses these signals to detect bots and improve its bot detection. See the Cloudflare Turnstile Privacy Addendum for details.
Cloudflare may use cookies or similar technologies for website security and spam prevention. You can manage cookies and site data through your browser settings; blocking security technologies may prevent the enquiry form from working. You can instead email enquiries@mariatutors.com.
If optional analytics or other non-essential technologies are introduced, this policy will be updated and appropriate privacy choices provided before they are used.
11. Marketing Communications
I do not automatically add students or parents to a marketing mailing list when they submit a tuition enquiry.
If I introduce newsletters or promotional emails in the future, I will provide appropriate information and obtain consent where required.
Students and parents will be able to opt out of marketing communications in accordance with applicable law.
